Rental Terms and Conditions

Please read these terms carefully before renting equipment from Cinema Equipment Rental.

1Rental Agreement

By renting equipment from VisionKit Rental, you ("the Renter") agree to be bound by these Terms and Conditions. This agreement constitutes a legally binding contract between you and VisionKit Rental ("the Company").

The rental period begins on the pickup date and ends on the return date specified in your booking confirmation. All equipment must be returned by the agreed time on the return date.

By completing a booking, you confirm that you are at least 18 years of age and have the legal capacity to enter into this agreement.

2Equipment Care & Responsibilities

You are responsible for the proper care and safe handling of all rented equipment during the rental period. Equipment must be:

  • Used only for its intended purpose
  • Operated by qualified personnel
  • Stored in a safe, dry environment when not in use
  • Protected from theft, loss, or damage
  • Returned in the same condition as received

You must not modify, disassemble, or attempt to repair any equipment. Any technical issues should be reported to us immediately.

3Pricing & Payment Terms

Full payment is required at the time of booking. Our pricing includes:

  • Standard equipment rental fee
  • Basic insurance coverage
  • Technical support during rental period

All prices are quoted in Euros and include applicable taxes unless otherwise stated.

4Cancellation Policy

Cancellation Time Refund Amount
More than 48 hours before pickup 100% refund
24-48 hours before pickup 50% refund
Less than 24 hours before pickup No refund

To cancel a booking, please contact us or use the cancellation feature in your account dashboard.

5Late Returns

Equipment must be returned by the agreed time on the return date. Late returns will incur the following charges:

  • Up to 4 hours late: 50% of daily rate
  • 4-12 hours late: Full daily rate
  • More than 12 hours late: Full daily rate + 25% penalty

If you anticipate returning equipment late, please contact us as soon as possible to arrange an extension.

6Damage & Loss

You are liable for any damage to or loss of rented equipment beyond normal wear and tear.

Insurance Coverage:
  • Basic insurance is included in all rentals
  • Covers accidental damage up to 500 EUR
  • Does not cover theft, negligence, or intentional damage
  • Deductible of 100 EUR applies per claim

Any damage must be reported immediately. You may be required to provide a police report for theft or loss claims.

7Pickup & Return

Pickup: Equipment can be collected from our location during business hours. Please bring valid photo ID and your booking confirmation.

Return: Equipment must be returned to the same location, clean and in working condition. All accessories, cables, and cases must be included.

Inspection: Equipment will be inspected at pickup and return. Any issues will be documented and you will receive a copy of the inspection report.

8Liability Limitations

Cinema Equipment Rental shall not be liable for:

  • Any indirect, incidental, or consequential damages
  • Loss of revenue or profits arising from equipment failure
  • Delays in delivery or pickup due to circumstances beyond our control
  • Data loss or corruption on storage media

Our total liability is limited to the amount paid for the rental.

9Privacy & Data Protection

We collect and process your personal data in accordance with applicable data protection laws. Your information is used to:

  • Process and manage your bookings
  • Communicate with you about your rental
  • Improve our services
  • Comply with legal obligations

We do not sell or share your personal data with third parties for marketing purposes.

10Security Deposit

A security deposit may be required for certain equipment rentals. The deposit amount varies based on the equipment value.

Deposit Terms:
  • The deposit is fully refundable upon return of equipment in the same condition
  • Deposits are charged at the time of booking along with the rental fee
  • Refunds are processed within 5-7 business days after equipment inspection
  • Any damage or missing accessories will be deducted from the deposit
Personal Insurance Option:

You may opt for Personal Audiovisual Equipment Insurance, which covers accidental damage and waives the security deposit requirement. This option is available during checkout for an additional fee.

11Special Offers & Deals

From time to time, VisionKit Rental may offer special deals and discounts on select equipment.

Deal Terms:
  • Sale prices are valid only during the promotional period
  • Discounts cannot be combined with other offers or coupons unless explicitly stated
  • We reserve the right to modify or discontinue deals without prior notice
  • Limited quantity deals are available on a first-come, first-served basis
  • Deal pricing applies to new bookings only and cannot be applied retroactively

All standard rental terms and conditions apply to discounted rentals.

12Rewards Program

Our Rewards Program allows eligible customers to earn discount coupons based on their rental spending.

Eligibility:
  • You must have a registered account to participate
  • Only completed and confirmed bookings count toward rewards
  • VisionKit Rental reserves the right to exclude users from the program at its sole discretion
  • Excluded users will be notified of their ineligibility and the reason
Earning Rewards:
  • Coupons are automatically generated when the spending threshold is reached
  • The discount percentage and threshold amount are determined by VisionKit Rental
  • Rewards may be repeatable, allowing you to earn multiple coupons
Using Coupons:
  • Coupons are applied to the total rental amount before taxes
  • Each coupon can only be used once
  • Coupons may have an expiration date and cannot be extended
  • Coupons are non-transferable and have no cash value
  • Coupons cannot be combined with other promotions unless explicitly allowed
Program Changes:

VisionKit Rental reserves the right to modify, suspend, or terminate the Rewards Program at any time. Any changes will be communicated through our website. Earned coupons remain valid until their expiration date or program termination.

13Account Terms

To use certain features of our service, you must register for an account.

  • You are responsible for maintaining the confidentiality of your account credentials
  • You must provide accurate and complete information during registration
  • You are responsible for all activities that occur under your account
  • You must notify us immediately of any unauthorized use of your account
  • We reserve the right to suspend or terminate accounts that violate these terms

Multiple accounts per person are not permitted. Creating accounts for fraudulent purposes will result in immediate termination and may be reported to authorities.

14Account Verification

To ensure a secure and trusted rental experience, VisionKit Rental implements an account verification process for all users.

Verification Status:
  • Unverified Accounts: All new accounts are unverified by default
  • Verified Accounts: Accounts that have completed the verification process
Please provide the required documents to verify your account::

To verify your account, you must provide the following documents:

  • Government-issued ID: Valid ID Card or Passport (clear copy of both sides)
  • Tax Confirmation: Recent tax document or business registration (for business accounts)
Verification Process:
  1. Prepare clear copies or scans of the required documents
  2. Contact us via email or phone to submit your documents
  3. Our team will review your documents within 1-3 business days
  4. You will receive confirmation once your account is verified
Grace Period:
Unverified accounts have a limited grace period during which you can make bookings normally. After the grace period expires, booking capabilities will be restricted until verification is complete.
Restrictions for Unverified Accounts:
  • Cannot make new bookings after grace period expires
  • Cannot earn or accumulate rewards program benefits
  • May be subject to additional security checks
Benefits of Verification:
  • Unlimited booking capabilities
  • Full access to the Rewards Program
  • Priority customer support
  • Verified badge displayed on your account

Note: VisionKit Rental reserves the right to request additional documentation or revoke verification status at any time if fraudulent activity is suspected.
